Quick Guide

 
  1. You must be logged in to Powerchart as yourself.  If not, your letters will not be signed or sent.
  2. With the patient record open, select Document Creation from the dark blue menu on the left of the screen.
  3. A 'New Letter' window opens.
  4. Ensure encounter is correct.
    • The encounter on which the patient record was opened will autopopulate here.  If this is not the encounter you wish to document on, please select the correct encounter from the drop-down list.
  5. Department autopopulates based on the encounter chosen.  If this is not correct, select correct choice from the drop-down list.
  6. Choose clinic (optional).
  7. Select the correct letter type, in this instance, Clinic Letter or Short Clinic Letter.
  8. Select primary recipient.  Automatically selects patient and GP as recipients when letter template opens. You can add/delete recipients within letter, as appropriate.
  9. Click Create.
  10. Check that the correct details are displayed in the Details tab located on the right side of the page.
    • Department and Lead Clinician will autopopulate based on the encounter chosen in 'New Letter' window. Change as required using drop-down list.
    • Clinic autopopulates based on what was chosen in the 'New Letter' window. Change as required using drop-down list.
    • Select your name from the Signing Clinician list.  The green button at bottom of page should now read as Sign and Send.
    • Select your role from the drop-down list.
  11. Add/Delete recipients as required.
  12. Pencil icon indicates free text area. Click into area to type.
  13. Click on the Autotext tab found on right side of page and select desired Personal, Departmental or Trustwide autotext. Autotext will insert where the cursor was last placed in the letter. See this guide for more information.
  14. Click on the Data tab found on right side of page and select desired Data Items.  Data items, like Tokens in Document Viewing, pull data from the patient record into the letter.
  15. Letters can be cancelled, saved or signed and sent by clicking on the appropriate button found at bottom right of page.
If you have written your own letter, to ensure that it is sent,  you must let your clinical administrator know.   The signed document will sit in a print queue for clinical administrator to action sending.
