Quick Guide

Getting Started
  1. Launch Fluency Direct (does not auto-start).
  2. Open patient record in PowerChart on the correct encounter.
  3. Check the MRN in the Pill matches the patient.
Create and Dictate Document
  1. Select Document Creation.
  2. Complete the new document’s details box.
  3. Open template.
  4. Dictate directly into a text field:
    1. Click text field (has a pencil icon).
    2. Press and hold Record to dictate directly.
    3. Release Record when not dictating.
Use Tear off to view document and patient record side-by-side
  1. Current window should be the clinical letter.
  2. Click on Tear Off in the top grey menu bar.
  3. The clinical letter window is now a new window and can be dragged to one side of the screen or onto another display screen.
  4. The background window is the patient record, and you can select whichever section you wish to review.

Correct Errors

In-line Correction will only make a correction to the text in the current documentation:

  1. Say “select [text]” or use the keyboard and mouse to highlight text.
  2. Say “[text]” and the text is replaced.

Error Correction Window will force Fluency Direct to learn the word/phrase.

  1. Say “select [text]”.
  2. Say “correct selection” to open the error correction window.
  3. You will be presented with a list of choices. To accept a choice, say “choose [number]”.
  4. Below the choices are a list of formatting commands. To use, say the command name.

Spell Mode will allow you to correct the spelling of a word.

  1. Highlight the word to correct.
  2. Enable Spell Mode by saying “spell mode”.
  3. Vocally spell the word.
  4. Say “save”.
Improve Recognition

Adding a Dictionary Entry

  1. Say “add to dictionary”.
  2. The Add a word window will appear.
  3. Enter the written for of the word to be added to the dictionary.
  4. Based on the written form, the pronunciation will be created. You can change this by clicking on the blue Change link.
  5. Select the Record pronunciation tab.
  6. Hold down the Record button and dictate the word.
  7. You will then be returned to the Add a Word dialog.
  8. Select the category for the dictionary entry.
  9. Click Save or say “save” to finish.

Create custom commands (e.g. Signature autotext)

  1. Press Play and say “open commands”.
  2. Select command group. You should have a personal group at the top of the list called “Your firstname Your surname’s Commands”.
  3. Commands within that group will be displayed to the right side of the window.
  4. Click +Add in the top right corner to create a new command.
  5. The Add a command window opens.
  6. Give the command a name.
  7. In the Steps tab, choose “Text”.
  8. Type the signature text into the text field.
  9. The Details tab is useful if you wish to write a description for this command. You can also set command availability to be everywhere, only in certain applications, etc.
  10. Click Save.
  11. Click Apply and then click OK.
  12. To use your new Autotext, place the cursor where you wish to insert. Press Play and say “insert signature”.

Save Options
  1. Save as Draft – needs admin review
  2. Save and Finalise – no review required
  3. Sign and Send – no review required and you are a signing clinician.
You must stop the recording BEFORE saving (or audio won’t save).
Key Rules
  • Dictate one letter for one patient at a time.
  • Confirm the MRN in the Pill matches that of the record you are going to dictate against.
    Say “Clear MRN” if incorrect patient linked.
  • Green pill = audio recording and voice recognition are both working
    Blue pill = audio recording is working but not voice recognition

Communication

Use Message Pad to send notes to admin.

Performance Tips
  • Correct errors regularly.
  • Build dictionary.
  • Train your profile as you work – this quickly improves accuracy.
  • If recognition continues to be poor despite calibration and training, request a profile reset by raising an INC with Service Desk. Note, commands/dictionary will be retained.
