Yes, when the milk is taken from the freezer it will be in the “Transport” stage (a 4 hour time window) and can be left out and then scanned into the fridge later.

The system tracks expiry dates based on date of collection. The labels have the collection date, unless the milk has been frozen and a defrosting label printed off. The defrosting label does have an expiry date because otherwise it would look as if milk taken from the freezer then stored in the fridge was very out of date.

Use the discharge process on the Back Office application to do this.

Use the “Baby Associations” process in the Back Office system to connect multiple babies to the same mother and this means that the batch of milk can be used for either baby.

Donor milk is not in scope for MilkTrac – the current process applies. It is likely to be added to the functionality in the future.

The “Home Collection” process (labels) could be used in this scenario.

Home labels can be printed from the Back Office system for the mother to take away and label the milk. Then it can be collected using the handheld system when it is delivered to the hospital ward.

There is no “undo”, so in this case, the “Transfer” option should be used to move the milk from the freezer into the fridge.

  2. In the search window type the batch id
  3. Click “Apply Filters” button
  4. Click the “Print” button

You can also re-print labels using the handheld device by choosing the Transport screen, and doing a long press on the batch.

MilkTrac is only used when baby is a NUTH inpatient.
However, if there is existing milk (used within MilkTrac process) prior to baby being transferred – the current process for babies transferring to somewhere outside of NUTH will be applied and the “Discharge” process in MilkTrac Back Office used to check the milk out of the system.

Yes, stickers are being added to fridges and freezers by the project team ahead of ward roll out of the system. These are being configured in MilkTrac so that they are recognised when scanned. Staff can also be shown how to do this in case new fridges are set up on the ward in the future.

Milk already collected and stored in ward fridges and freezers prior to MilkTrac implementation does not have to be put through MilkTrac. It is only new batches which should be logged on the system.

As soon as the patient is admitted in e-Record, the record will feed into MilkTrac
