Sharing files and folders

The files on your OneDrive are private until you share them. When you share files or folders with edit permissions then the people you share with can add the files or folders to their OneDrive.

Sharing options

  1. From the OneDrive homepage, click on My files in the navigation pane
  2. Select the file or folder you want to share
  3. Select Share

  1. From the opening share window, click on the Settings icon

  1. From the opening Links settings window, set the links permission from the The link works for options – this allows you to control who accesses the link and what they can do

People in NHS – share with people in the NHS, account required

Only people with existing access – reshare with people in your organisation who already have access

People you choose – share with specific people you choose inside the NHS organisation


  1. Click the down arrow to the right of More settings to amend editing settings – Can edit is the default setting

Can edit – allows people to edit files or folders

Can review – allows people to suggest changes only

Can view – allows people to only view, can’t make changes

Can’t download – blocks people from downloading the files or folders


  1. Set expiration date allows you to set a date for the link to expire
  2. Once all link settings and permissions are set, click Apply

  1. In the Add a name field start typing the name or email address of people you want to share the documents with
  2. To quickly share with these people you can click on the pencil sign to assign editing rights.
  3. You can add a message if needed then, click Send – the people you have shared the file/ folder with will receive an email confirmation

  1. Once all permissions have been set, click Copy link button

  1. Paste and share the link where you want to share it, such as in an email.
