mediSIGHT – Creating Letters

Background

mediSIGHT is able to create letters, using templates, when encounters are completed.  Whether a letter is generated, who it is addressed to, and how to choose to not send a letter is detailed below

The encounters that can generate letters are chosen by the system administrators.  Currently NUTH has letter templates available for “Consultation”, “Virtual Review” and “Orthoptic assessment”.
Process
  1. After completing the clinical record, click “Finalise”
  2. mediSIGHT will then offer any optional letter templates (if applicable).  Tick the box, then click OK to create the letter draft. 
    If all letter templates for the encounter are set to generate by default, this option will not appear; proceed to Step 3.
    If there are no letter templates available for the encounter then the letter review screen will not appear at all; you will be returned to the signed note in the Events list.

  1. The letter will load with default fields automatically populated.
    The information above “Dear General Practitioner,” MUST NOT be changed.
    If this is altered then it is probable that the letter will fail when sent to the printers.
  2. Additional default sentences can be selected from the left, with centrally managed sentences under “See all >>”
  3. The following sections will explain creating / cancelling the letter and adding / removing recipients.

Cancelling a letter
  1. To cancel a document so that no letters are sent, click “Cancel document”.
    There is no confirmation to this step, but the letter can be reinstated.

Adding a letter
  1. To add a letter from the available options, click “Add letters”.
  2. Tick the appropriate letter option, and click “OK”
Note that any changes made to a letter before cancelling are discarded.  This can therefore be used to reset the letter to its default settings.

Adding and Removing Recipients
  1. To edit the recipients of a letter click “Edit settings”

Recipients are grouped as follows:

To add a recipient to the letter, choose the recipient type.  For the first four types above, a search box will be displayed.

Once you have selected the recipient, tick the box for “e-Copy”.  Make sure the “Local print” and “Batch print” tick boxes are empty.  Local and Batch printing are not used at NUTH.

You MUST ensure that the e-copy option is ticked for all recipients.  Failure to do this will mean that the letter looks like it was copied to a recipient, but they will never receive a copy.

Changing a letter recipient will result in mediSIGHT removing the tick against e-copy.  You must re-tick this box before clicking “Done”

To remove a recipient, click the “Remove recipient” button for the relevant address.  All letters must have a minimum of 1 recipient, and mediSIGHT will check that at least 1 copy of the letter is destined for Print/Batch print/e-copy (However it will not check the type of letter printing).

Once you have checked and completed the content of your letter, click “e-sign and action all”.

 

Letters can be edited until midnight on the day of signing.  At this point they will be automatically processed for printing.  Any errors noted in letters must be raised to Mr Cunningham or Mandy Partridge by 3pm on the working day following signing to stop the letter in Synertec Prism.  Around 5pm the letter will be final and will have entered the mail system at the offsite printers.
If you need to return to a letter later, do not click “e-sign and action all”.  Click “Save all for later” and you will be able to return to the documents at a later point to edit them.
