Quick Guide

To open the Appointment Ledger, click on the Appts button on the home screen.

The Appointments Ledger Screen will now open

  • Dates the Future.  Select the Month and Year field
  • Dates this month: Select the day of the month that you require
  • View Staff Appointments:  Find the name of the staff member that would like to see to review their appointment by selecting the box next to their name.

To Book an Appointment:

On the ledger, Right click on the required appointment slot. A list of options will appear:

  • Book Appointment: Allows an appointment to be booked by searching for the required patient. This is used for only pre-arranged home visits and other pre-arranged
    patient appointments, not meetings (even if the patient is present).
  • Book Textual Appointment: Allows free text to be entered into the appointment slot. This is not linked to a patient record. This is used for meetings, study leave,
    admin time, travel, statutory and mandatory training and supervision etc.
    NOTE: Meetings must be recorded a textual and not in the leave screen
  • Block Appointment prevents others from using the slot. This is used to record lunch breaks.

Booking a prearranged appointment

  • Right click on the required appointment slot, Select Book Appointment the patient search window appears. Type in the name of the patient that is to be booked into the selected appointment slot, and Click search, Click on the correct patient from the returned list and click OK

The book new appointment screen will appear.

Outcome of the appointment – updating your ledger

Patient Attended/Visited:
Right Click on the appointment slot, click on Consultation this will access the patients record to write up patient notes after visit has taken place. It will also
automatically update the appointment slot to finished once the patients record is
saved.

  • Patient DNA/NO Access Visit:
  • Right click on the appointment slot, navigate to Administration and click on the relevant option
  • Did Not Attend – for DNA to clinic appointment
  • No Access Visit – for failed home contact

When a patient is marked as Did Not Attend or No Access and was previously on a
waiting list the following prompt will appear Click Yes to add back to Waiting List.

Cancelled Appointments
All cancelled appointments must be cancelled from the appointment ledger before the end of
the day prior to the appointment using the Cancelled options.
Right click on the appointment slot, navigate to Administration and click on the
relevant option

  • Cancelled by Unit
  • Cancelled by Patient
  • Cancelled by Other Service
  • Cancelled due to death

The following prompt will appear, NEVER CLICK REBOOK LATER OR REBOOK NOW
Don’t Rebook is chosen – this will cancel the appointment and remove the appointment from the slot. If the patient was previously on a waiting list, the following prompt will appear

Click Yes to add back to Waiting List

Booking a Textual Appointment
Right click on the required appointment slot, Select Textual Appointment, the book new appointment screen will appear
The duration of the appointment can be amended if required. Click on the drop and select the duration.
Type your appointment in the patient box. Please note this does not link to a patient record.
To confirm the booking of the appointment, Click on OK.
Additional information can be added by typing in the text box to the right of the Details heading.

Please note the textual appointment needs to be manually updated to show the meeting or training is complete. This can be done by, right clicking on the appointment slot.
Click on Finished. This will update your ledger to show the slot is complete

 

Blocking Slots

Right Click on the required appointment slot, Select Block appointment. The Block slot screen will appear. Type the reason why the slot is blocked. Click OK.
