How to view and action Patient Requests to modify an existing appointment in PEP Management Portal

  1. From the Home screen in Management Portal, select Patient Requests from the menu bar at the top
  1. Select the ‘Appointment Amendment Requests’ option
  2. Requests where the patient has selected “I need to reschedule” will be listed.
    • Requests made over 6 hours ago the row will be highlighted in yellow
    • Requests made more than 1 day ago the row will be highlighted in red
    • Requests will be removed from the list automatically if they are updated in SchApptbook or have not been completed before the date of the appointment passes.
  1. Use the filter button to find a specific request if required
  2. To action a request from the list, select the action button to the right, this will open the full details of the request
  3. The action page will show you the full detail of the patient request, this will allow you to look up the appointment in SchApptBook and modify it as necessary

IMPORTANT: You should contact the patient whilst using SchApptBook and confirm the appointment with them verbally before moving on to the steps below. 

  1. If the patient request has been actioned, please mark the request as complete by selecting the ‘Processed’ button
  2. If the patient request is rejected or cannot otherwise be actioned please select the ‘Reject request’ button
  3. If a request is rejected the system will prompt you to confirm your choice. Selecting ‘Confirm and reject’ will reset the state of the appointment to ‘booked’ and you will be returned to the previous list with the item removed.
