Quick Guide

Open Schapptbook.

  1. Click on Appointment tab.
  2. Start typing in, the area of the Appointment Type - this speeds up the process of finding your Appointment Type.
  3. Click on the Ellipsis button.
  4. Select correct Appointment Type.
  5. Click OK.
  6. Select Appointment location from the drop down options
  7. Click on the Ellipsis button to search for the patient.
  8. Search for the patient by entering the Surname, Forename, Date of Birth and Gender - ensure you have entered the correct spelling for the Forename and Surname.
  9. Click Search.
  10. Because your patient is new, you will see a No patients found message in the right hand side column.
  11. Click on the Add Person tab.
  12. Select Yes to the 'Is this a Waiting List encounter? 'question.
  13. Select Outpatient Referral from the drop down list, then click OK.
  14. Select 18 Week Wait Pathway as the Pathway Type - select Maternity if it's a maternity referral, then click OK.
  15. Click Yes to the 'Is this a New outpatient appointment?' question.
  16. A message will appear informing you you're about to register a new patient and asking if you wish to cancel and research again - if you're sure your search details are correct, select No.
  17. The Outpatient Referral window has now opened, if you don't see the yellow mandatory fields, right click in the top right hand side of the screen and place a tick in the Highlight Required Fields box.
  18. Complete the mandatory fields;
  • Ethnic Category.
  • UK Resident for 12 Months? - at this stage if you are unaware of the status, select Unable to Validate, you'll be able to update the status when the patient arrives for their appointment.
  • GP Details - type surname then click on ellipse, select correct GP and address, click OK.
  1. Enter Patient's contact phone number/s.
  2. Add Patient home address.
  • Click on the blue plus.
  • Select UK Residence from the Residence drop-down options.
  • Click on Address Search.
  • Enter Postcode, then select house number .
  • Click Select.
  • Click Accept.
  • The address is now populated, click OK.
  1. Click on Referral Detail tab, then complete mandatory fields.
  • Source of Referral.
  • Priority Type.
  • Booking Type - Full Booking.
  • Lead Clinician.
  • Treatment Function.
  • List Type.
  • Referral Received Date.
  1. Click OK.
  2. The Patient's name is now populated in the Patient name field, select the Consultation Media.
  3. Click Move to move the patient's details in to the Work in Progress column..
  4. Select appointment date.
  5. Select appointment clinic and time.
  6. Click Schedule.
  7. Click OK from the opening Schedule window.
  8. The appointment slot is now showing amber and is pending.
  9. Click Confirm.
  10. Select the Correspondence Schedule Resource.
  11. Click OK.
  12. The clinic slot is now showing blue and the appointment is now confirmed.
