{"id":8213,"date":"2024-06-17T14:04:28","date_gmt":"2024-06-17T14:04:28","guid":{"rendered":"https:\/\/training.nuth-itt.co.uk\/?page_id=8213"},"modified":"2024-07-10T09:39:10","modified_gmt":"2024-07-10T09:39:10","slug":"appointments-ledgers-systmone","status":"publish","type":"page","link":"https:\/\/training.nuth-itt.co.uk\/?page_id=8213","title":{"rendered":"Appointments Ledgers"},"content":{"rendered":"<p>To open the <strong>Appointment Ledger<\/strong>, <strong>click<\/strong> on the <strong>Appts button<\/strong> on the home screen.<\/p>\n<p><strong> The Appointments Ledger Screen will now open<\/strong><\/p>\n<ul>\n<li>Dates the Future.\u00a0 Select the Month and Year field<\/li>\n<li>Dates this month: Select the day of the month that you require<\/li>\n<li>View Staff Appointments:\u00a0 Find the name of the staff member that would like to see to review their appointment by selecting the box next to their name.<\/li>\n<\/ul>\n<p><span style=\"text-decoration: underline;\"><strong>To Book an Appointment:<\/strong><\/span><\/p>\n<p>On the ledger, <strong>Right click<\/strong> on the required appointment slot. A list of options will appear:<\/p>\n<ul>\n<li><strong>Book Appointment<\/strong>: Allows an appointment to be booked by searching for the required patient. This is used for only pre-arranged home visits and other pre-arranged<br \/>\npatient appointments, not meetings (even if the patient is present).<\/li>\n<li><strong>Book Textual Appointment:<\/strong> Allows free text to be entered into the appointment slot. This is not linked to a patient record. This is used for meetings, study leave,<br \/>\nadmin time, travel, statutory and mandatory training and supervision etc.<br \/>\n<strong>NOTE: <\/strong><strong>Meetings must be recorded a textual and not in the leave screen<\/strong><\/li>\n<li><strong>Block Appointment<\/strong> prevents others from using the slot. This is used to record lunch breaks.<\/li>\n<\/ul>\n<p><span style=\"text-decoration: underline;\"><strong>Booking a prearranged appointment<\/strong><\/span><\/p>\n<ul>\n<li><strong>Right click<\/strong> on the required appointment slot, <strong>Select Book Appointment<\/strong> the patient search window appears. Type in the name of the patient that is to be booked into the selected appointment slot, and <strong>Click search<\/strong>, <strong>C<\/strong>lick on the correct patient from the returned list and click <strong>OK<\/strong><\/li>\n<\/ul>\n<p>The book new appointment screen will appear.<\/p>\n<p><span style=\"text-decoration: underline;\"><strong>Outcome of the appointment \u2013 updating your ledger<\/strong><\/span><\/p>\n<p><strong>Patient Attended\/Visited:<\/strong><br \/>\n<strong>Right Click<\/strong> on the appointment slot, click on Consultation this will access the patients record to write up patient notes after visit has taken place. It will also<br \/>\nautomatically update the appointment slot to finished once the patients record is<br \/>\nsaved.<\/p>\n<ul>\n<li><strong>Patient DNA\/NO Access Visit:<\/strong><\/li>\n<li><strong>Right click<\/strong> on the appointment slot, navigate to Administration and click on the relevant option<\/li>\n<li><strong>Did Not Attend<\/strong> &#8211; for DNA to clinic appointment<\/li>\n<li><strong>No Access Visit<\/strong> &#8211; for failed home contact<\/li>\n<\/ul>\n<p>When a patient is marked as Did Not Attend or No Access and was previously on a<br \/>\nwaiting list the following prompt will appear <strong>Click Yes<\/strong> to add back to Waiting List.<\/p>\n<p><span style=\"text-decoration: underline;\"><strong>Cancelled Appointments<\/strong><\/span><br \/>\nAll cancelled appointments must be cancelled from the appointment ledger before the end of<br \/>\nthe day prior to the appointment using the Cancelled options.<br \/>\nRight click on the appointment slot, navigate to Administration and click on the<br \/>\nrelevant option<\/p>\n<ul>\n<li><strong>Cancelled by Unit<\/strong><\/li>\n<li><strong>Cancelled by Patient<\/strong><\/li>\n<li><strong>Cancelled by Other Service<\/strong><\/li>\n<li><strong>Cancelled due to death<\/strong><\/li>\n<\/ul>\n<p>The following prompt will appear, NEVER CLICK REBOOK LATER OR REBOOK NOW<br \/>\nDon\u2019t Rebook is chosen \u2013 this will cancel the appointment and remove the appointment from the slot. If the patient was previously on a waiting list, the following prompt will appear<\/p>\n<p><strong> Click Yes<\/strong> to add back to Waiting List<\/p>\n<p><span style=\"text-decoration: underline;\"><strong>Booking a Textual Appointment<\/strong><\/span><br \/>\nRight click on the required appointment slot, Select Textual Appointment, the book new appointment screen will appear<br \/>\nThe duration of the appointment can be amended if required. <strong>Click<\/strong> on the drop and select the duration.<br \/>\nType your appointment in the patient box. Please note this does not link to a patient record.<br \/>\nTo confirm the booking of the appointment, <strong>Click on OK.<\/strong><br \/>\nAdditional information can be added by typing in the text box to the right of the Details heading.<\/p>\n<p>Please note the textual appointment needs to be manually updated to show the meeting or training is complete. This can be done by, right clicking on the appointment slot.<br \/>\n<strong>Click on Finished<\/strong>. This will update your ledger to show the slot is complete<\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"text-decoration: underline;\"><strong>Blocking Slots<\/strong><\/span><\/p>\n<p><strong>Right Click<\/strong> on the required appointment slot, Select Block appointment. The Block slot screen will appear.
